Job Description:
The Recruitment Administrator will work within a small team of HR and recruitment professionals supporting the staffing and hiring function for TIBCO Americas. Your role will be to provide recruitment administration for a range of processes and administrative tasks which are essential to the successful running of the Americas HR department. In addition you may be involved in a number of assignments as needed.
This a direct contract position with TIBCO Software India Pvt Ltd initially for one year.
Responsibilities:
• Process Personnel Requisition Forms (PRF) and Offer Approval Forms (OAF) for approval via the recruitment system
• Track and follow up PRFs and OAFs through the approval process
• Upload all CVs received from line managers / agencies / job boards / referrals onto iCIMs
• Post approved jobs TIBCO’s external website via the recruitment system
• Generate weekly reports on active and pending vacancies for Americas by region and function.
• Generate offer documentation and Welcome Letters for new employees
• Work with recruiters to update the recruitments HRIS system
• Provide support as needed in support of TIBCO’s college and university recruiting program, particularly with posting adverts.
• Assist Regional HR Team with general recruitment tasks as required
• Support the development of recruitment HRIS system functionality
• Assist with the purchasing / ECOS contractor set up
• New supplier set up and ISCA agreements tasks
• Post and refresh adverts on job boards.
• Ensure all advertised jobs on website Recruitment HRIS / external job boards are up-to-date.
• Coordinate Employment Reference Process with external agency
• Collation, tracking and processing of new hire documentation in line with internal processes

• Previous administration experience
• Min 2 Years of Experience in Recruitment function in an admin support role
• Excellent written and oral communication skills
• Excellent spoken and written English
• Proficiency in MS Excel
• Strong customer-orientated attitude
• Experience working with / supporting clients in U.S
• Comfortable with a high-volume workload with the ability to multi-task and prioritise as appropriate
• Excellent organisational skills with a meticulous attention to detail
• Full of initiative and ideas with the ability to see these through to completion

• BA degree or equivalent
